AK Accounting Local Automation

Privacy Policy

Effective date: October 21, 2026

This policy explains how AK Accounting LLP (“we”, “us”) handles information in connection with akaccounting.pro and AK Accounting Local Automation (the “App”). The App is an internal accounting integration for AK Accounting LLP and expressly authorized users.

1. Information we handle

2. Purposes and authorization

We use information to operate and secure the website, answer support requests, maintain an authorized connection, and perform accounting work requested by authorized users. This includes reading records, creating and updating accounting documents, sending approved invoices and estimates to specified recipients, recording payments in the books, and reviewing balances and reports for reconciliation. Intuit displays the requested accounting OAuth permissions during authorization; available App operations also depend on the configured tools and the user’s instructions. We do not use App data for advertising, sell personal information, or train our own general-purpose AI models on accounting data.

3. Processing and service providers

The public website is hosted on our Contabo server in Germany. Public policy pages do not contain company accounting records. The accounting integration runs on an authorized operator’s computer and communicates with Intuit. Authorized users may choose to send selected accounting information to an AI assistant, such as OpenAI Codex or Anthropic Claude, for a requested analysis. In that case the selected information is processed by that provider under its applicable account settings and terms. Users must have authority to share that information. The App does not automatically publish company records on this website.

Our infrastructure, email and authorized analysis providers may process information outside your country. We disclose information to providers as needed for the requested service, with your authorization, or where required by law. Intuit’s handling of information is governed by Intuit’s own privacy policy.

4. Security and retention

We use HTTPS for the public website and protect local integration credentials with operating-system access controls. Access is limited to authorized operators. No system can be guaranteed completely secure.

Website access logs are normally rotated and retained for approximately eight days, unless needed to investigate an incident. Support messages and requested reports are retained while needed for the request, the business relationship or applicable recordkeeping obligations. Local credentials are retained while a connection is in use; they should be removed when it is disconnected. Removing a connection does not automatically erase previously exported reports, records required by law, or information already sent to an authorized provider. Server backups may retain earlier copies until their scheduled rotation.

5. Your choices and requests

A QuickBooks administrator can revoke the App’s access from QuickBooks connected-app settings. See our disconnection instructions. Contact us to request access, correction or deletion of information we control, or to raise a privacy concern. We may verify your identity and authority before responding. We will honor applicable rights and explain any legal retention requirements.

6. Children and changes

The website and App are intended for business use and are not directed to children. We may update this policy as the service changes; the effective date above identifies the current version.
